Welcome to Excursion Planners. These Terms of Service govern the relationship between Excursion Planners (hereinafter referred to as “Excursion Planners,” “we,” “our,” or “us”) and any individual or group booking a tour, excursion, transportation service, or travel experience with us (hereinafter referred to as “traveler,” “guest,” or “you”).

By confirming a booking with Excursion Planners, you acknowledge that you have read, understood, and accepted the following terms and conditions.

1. Definitions

  • “Company” refers to Excursion Planners, its employees, affiliates, and agents.
  • “Client” refers to any individual or organization using the Company’s services.
  • “Services” refer to the travel-related services offered by the Company, including but not limited to excursions, day trips, travel packages, and custom itineraries.

2. Scope of Services

  • We act as an intermediary between you and service providers such as hotels, tour operators, and transportation companies.
  • Our services include organizing excursions & Tours, booking accommodations, transportation, and providing travel-related advice.
  • We do not own or operate any of the travel services provided by third parties and are not responsible for their actions or omissions.

3. Booking and Payment

   3.1 Booking Process

  • Bookings must be made via our website, email, or phone.
  • All bookings are subject to availability and confirmation.
  • A booking is considered confirmed only after receiving full payment or a deposit, as specified during the booking process.

  3.2 Payment Terms

  • A deposit of 30% is required at the time of booking to secure your reservation.
  • The remaining balance must be paid directly to your guide at the pick-up.
  • Payment methods include [credit card, bank transfer, PayPal, etc.].

4. Cancellations and Refunds

  4.1. Cancellations by the Client

  • For a full refund, cancellations must be made at least 15 days before the tour’s start date.

  4.2. Cancellations by the Company

  • We reserve the right to cancel a booking due to unforeseen circumstances, such as insufficient participants, weather conditions, or force majeure events.
  • In such cases, we will offer:
    • A full refund, or
    • An alternative trip of equal or greater value (if acceptable to the Client).

5. Changes to Bookings

  • We will make all possible arrangements for your booking with no additional charges but not guarantee.
  • Any changes to confirmed bookings (e.g., date changes, itinerary adjustments) may incur an administrative fee.
  • Changes are subject to availability and the policies of the third-party service providers involved.

6. Travel Documents

  • The Client is responsible for obtaining and carrying all necessary travel documents, including passports, visas, and permits.
  • Excursion Planners is not liable for any disruptions caused by insufficient or invalid documentation.

7. Health and Safety

  • It is the Client’s responsibility to disclose any medical conditions, dietary restrictions, or other special requirements at the time of booking.
  • Some excursions may involve physical activities or risks (e.g., hiking, etc). Clients participate at their own risk.
  • Clients are advised to purchase comprehensive travel insurance to cover medical emergencies, trip cancellations, and other unforeseen events.
  • Please note that we assume no responsibility whatsoever for personal injury, illness, damage, death or loss incurred during your trip.

8. Accommodation and Meals

8 .1 Accommodation Quality

Accommodations are selected according to the category and package booked. While we strive to provide high-quality stays, standards may vary depending on the destination and availability.

Any concerns regarding accommodation should be communicated during the trip so we can attempt to resolve the issue promptly.

8.2 Included Meals

Included meals will be clearly mentioned in the itinerary or booking confirmation. Special dietary requests should be communicated before the tour begins.

9. Transportation Services

9.1 Vehicles

Transportation may be provided using comfortable and air-conditioned:

  • 4×4 vehicles
  • Minivans
  • Vans
  • Minibuses

Vehicle type depends on group size and route conditions.

9.2 Drivers and Guides

Professional drivers and local guides are selected to enhance your travel experience. Travelers are expected to treat all staff members respectfully throughout the journey.

10. Liability Disclaimer

10.1 Limitation of Responsibility

Excursion Planners acts as an organizer of travel experiences and cannot be held responsible for:

  • Flight delays or cancellations
  • Loss of personal belongings
  • Injuries caused by traveler negligence
  • Third-party service interruptions
  • Delays caused by weather or road conditions

10.2 Force Majeure

Excursion Planners shall not be liable for failure to perform obligations resulting from events beyond reasonable control, including:

  • Natural disasters
  • Pandemics
  • Government actions
  • Civil unrest
  • Transportation strikes
  • Unexpected closures or restrictions

11. Photography and Media Usage

During tours, photos or videos may occasionally be captured for promotional or marketing purposes, including use on:

  • Websites
  • Social media platforms
  • Advertising materials

By booking with Excursion Planners, you grant permission for the use of such media unless you notify us in writing before the tour begins.

12. Privacy and Data Protection

Excursion Planners respects your privacy. Personal information collected during the booking process is used solely for:

  • Reservation management
  • Customer communication
  • Tour operations

We do not sell, rent, or share your personal data with unauthorized third parties.

13. Acceptance of Terms

By confirming a booking with Excursion Planners, you confirm that you have read and accepted these Terms of Service in full.

14. Amendments

  • Excursion Planners reserves the right to update these Terms of Service at any time. Changes will be posted on our website, and continued use of our services constitutes acceptance of the updated terms.
